With the Help of SiteDocs, Cake Contributes to a Faster, Easier, and Better Safety Culture Across New Zealand.

“The culture in New Zealand is collaborative regarding health and safety – competitors won’t hold back ‘trade secrets’ from each other when it comes to keeping people safe,” said Michelle Orum, Cake’s Project Manager. “Since it’s so easy-to-use, we’re excited to share SiteDocs with anyone who will listen, especially teams who need a solid Offline Mode doing remote work. SiteDocs helped improve our safety culture and too much is on the line not to share what works.”

Cake Streamlined More Than Their Safety Program on SiteDocs

Cake Commercial Service teams have over 200 locations across New Zealand and sign thousands of forms every month, such as:

– SSSP
– Timesheet
– Quality Control
– Pre-Start Meeting Record
– Equipment Register
– Fall Arrest Register
– Competencies Log
– Vehicle Pre-Start
– Route Plans

In the past, when crews went to remote sites, Workers would have to travel carrying big plastic buckets full of paper forms, safety resource binders, etc. “You can only put two people in the vehicle by the time you take all the stuff they need,” says Michelle. “The added challenge with buckets of paper was that it was difficult to find any needed documentation quickly.”

Now crews take a small tablet with them, which contains everything they need when they travel to remote locations. “All our project documentation is filed in SiteDocs,” says Michelle.

We make updates remotely. All project documentation, such as the SSSP, health and safety materials, work-scope assessments, including photos and route plans – everything is in SiteDocs. Crews sync the material then go into the field in Offline Mode.

Michelle passes on this once-a-day / once-a-night sync method to others interested in switching to powerful digital safety with SiteDocs, claiming that high accountability in digital safety doesn’t need to rely on constant connectivity in remote areas. “We are saving thousands of dollars every year in remote data charges by strategically using SiteDocs Offline Mode,” explains Michelle.

Visibility Means Spotting Trends to Prevent Injuries

SiteDocs Analytics Dashboards take key information from the field – identifying patterns and creating insights – so leadership can make informed decisions that keep people safe.

“Our crews are doing a really physical job. Seeing the pattern of aches and pains is a big deal to us” emphasised Michelle. Seeing patterns, Cake’s team responded with thoughtful, preventative care. “We’ve engaged a physiotherapist who’s able to do a full musculoskeletal assessment,” says Michelle. Preventative care along the way ensures that when workers carry a heavy load, such as their bucket of equipment, that load is distributed correctly.

Visibility is key to the prevention of injury, which is why Cake schedules check-ins every 3, 6, and 12 months to prevent injuries before they happen.

Since we’re able to see patterns, we can take preventative action to care for life and limb and provide a really full care plan for crews, such as frequent access to a physiotherapist

Accountability Has Increased Trust Company-Wide

Always looking for Opportunities for Improvement (OFI), they found SiteDocs an easy way to collect ideas from workers and increase accountability. “We’d rather keep our eye on frequent OFI forms than start an Incident Report,” emphasizes Michelle. Team leads have a monthly virtual meeting reviewing SiteDocs Analytics Dashboards and aligning questions, learnings, and concerns.

“Clarity on who’s signing what, when, and where… has built trust throughout the whole business” says Michelle. When leaders need to drill down on detail – from company to team to an individual level – they can see who’s signing off on things, cross-check records, and provide better support with fresh training.

Michelle would heartily recommend other companies with remote teams switch to SiteDocs as “with all of the value you get from SiteDocs, it’s a bargain!”

Visibility is a key to prevention of injury. SiteDocs Analytics Dashboards give us the insights we need to prevent future injuries and better support with fresh training.
